At deskbird, we always strive to make the office experience smoother and more efficient.

That's why we’re thrilled to announce a new feature: automatic check-in for desk and parking spot bookings!

With geofencing technology, your team’s bookings will be confirmed automatically when they enter the office—no more missed check-ins or cancellations, just a seamless, stress-free office visit while maintaining the high data quality you need for accurate space usage or attendance analytics!

The challenges we see

Many companies are currently using manual check-ins to track office usage.

However, there are some critical pain points teams are experiencing that have not appropriately been tackled yet:

  • Employees often forget to check in: they get distracted while chatting with a colleague or making coffee, all leading to automatic cancellations.
  • This results in employees skipping booking desks or parking spots, reducing data accuracy on space utilization and undermining the system's purpose.

How we can help - our solution

💡 Automatic check-in solves these problems by allowing users to check into their desks and parking bookings automatically upon entering the office.

How does it work?

Admins:

  • Powered by geofencing: based on Apple and Android’s native APIs, geofencing tracks when an employee enters a set radius around the office.

Good to know: No location data is stored or shared by deskbird, and the feature is fully GDPR compliant.

  • Seamless experience: once an employee is inside the office, their booking is automatically confirmed, making the process frictionless.
  • Flexible setup: automatic check-in can be enabled for each office location.

Users:

  • Opt-in via the app: once enabled by the admin, employees can find the automatic check-in option in their deskbird app settings.
  • Grant location permission: employees must grant location permissions for the deskbird app to function correctly. If permissions aren’t granted, the feature won’t be active.
  • Stay updated: Employees will receive a notification confirming successful check-in or alerting them if there’s an issue.

Good to know: The feature doesn’t yet schedule you as “in-office” upon entry—it only confirms individual bookings.
